This Cancellation and Refund Policy ("Policy") governs the terms under which patients and users ("you", "Patient") may cancel facilitation services arranged through Cura Welt ("we", "us", "Cura Welt") and sets out the circumstances in which refunds or credits may be applicable. This Policy is effective as of 1 March 2026.

Please read this Policy carefully before submitting a service request or making any payment. By engaging our facilitation services you confirm that you have read, understood, and accepted this Policy in full. This Policy forms part of our Terms of Service and should be read alongside our Privacy Policy.

This Policy applies exclusively to the facilitation fees charged by Cura Welt. It does not govern, and cannot override, the cancellation and refund policies of any partner clinic, hospital, or healthcare provider. Patients are strongly advised to obtain and review the cancellation terms of the relevant clinic independently before making any commitment.

Section 01

Scope & Definitions

For the purposes of this Policy, the following definitions apply:

  • "Facilitation Fee" — any fee, coordination charge, or service payment made to Cura Welt in connection with the arrangement of medical services.
  • "Partner Clinic" — any independent, licensed medical facility, hospital, dental clinic, or healthcare provider with whom Cura Welt has a commercial referral arrangement.
  • "Booking Confirmation" — the written confirmation email issued by Cura Welt confirming that an appointment or treatment slot has been successfully reserved with a Partner Clinic.
  • "Treatment Date" — the scheduled date of the first clinical consultation, procedure, or admission at the Partner Clinic.
  • "Written Notice" — a cancellation request submitted via email to [email protected] or through the official contact form at curawelt.com/contact.
Section 02

Nature of Our Service

Cura Welt is a medical tourism facilitation intermediary only. We do not provide medical treatment, diagnoses, or clinical services of any kind. We do not employ physicians, surgeons, or clinical staff. Our role is limited to:

  • Identifying suitable Partner Clinics based on your stated medical needs and preferences
  • Coordinating communication between you and the selected Partner Clinic
  • Providing logistical support and general travel guidance where agreed
  • Acting as a facilitator — not as a party to the medical treatment contract
The contract for medical services is entered into directly between you and the Partner Clinic. Cura Welt is not a party to that contract and cannot be held responsible for any clinical outcome, clinic-side cancellation, or changes to treatment plans made by the clinic.
Section 03

Cancellation by the Patient

You may cancel your facilitation arrangement at any time by submitting a Written Notice to Cura Welt. Cancellations are effective from the date and time the Written Notice is received and acknowledged by Cura Welt in writing.

The refund entitlement, if any, of the Facilitation Fee will be determined by the notice period relative to the Treatment Date as set out in Section 4. The following conditions apply to all patient-initiated cancellations:

  • All cancellations must be made in writing — verbal or telephone cancellations are not accepted.
  • You are responsible for cancelling any separate booking with the Partner Clinic directly and in accordance with the clinic's own policy.
  • Cura Welt will confirm receipt of your cancellation request in writing within 2 business days.
  • Where a refund is applicable, processing will occur within 14 business days of written confirmation.
  • Refunds are issued to the original payment method only, unless otherwise agreed in writing.
Important: Cancelling your facilitation arrangement with Cura Welt does not automatically cancel your appointment or treatment booking at the Partner Clinic. You must contact the clinic separately to avoid incurring clinic-side cancellation charges.
Section 04

Refund Schedule — Facilitation Fee

The following refund schedule applies to Facilitation Fees paid to Cura Welt. All timeframes are calculated from the Treatment Date stated in your Booking Confirmation.

In exceptional circumstances — such as a sudden serious medical condition that prevents travel, supported by appropriate documentation — Cura Welt may, at its sole discretion, issue a credit note or partial refund outside these standard terms. Such exceptions are assessed individually and are not guaranteed.

Note: The above schedule governs Cura Welt's Facilitation Fee only. Any deposits, treatment fees, or advance payments made directly to a Partner Clinic are subject solely to that clinic's own cancellation and refund policy, over which Cura Welt has no authority.
Section 05

Non-Refundable Items

The following costs and fees are strictly non-refundable under all circumstances, regardless of the notice period given:

  • Administrative processing fees, if itemised separately in your invoice
  • Medical record translation, review, or assessment fees already incurred
  • Third-party coordination costs already disbursed on your behalf (e.g., transfer bookings, accommodation reservations made at your request)
  • Any portion of the Facilitation Fee attributable to services already rendered prior to cancellation
  • Currency conversion losses or international bank transfer charges
  • Medical treatment fees, clinical deposits, or diagnostic costs paid directly to or through the Partner Clinic

Cura Welt is not responsible for any costs incurred by the patient in connection with travel, accommodation, insurance, or other ancillary arrangements made independently. We strongly recommend patients obtain comprehensive travel and medical cancellation insurance before making any bookings.

Section 06

Cancellation by a Partner Clinic

In the event that a Partner Clinic cancels or significantly modifies your confirmed appointment or treatment, Cura Welt will make reasonable efforts to:

  • Notify you promptly upon becoming aware of the cancellation or material change
  • Propose one or more alternative Partner Clinics offering equivalent or comparable services
  • Assist with rebooking at no additional Facilitation Fee, where a suitable alternative is available and accepted

If no suitable alternative is available and accepted, and the clinic-side cancellation was not caused by any act or omission on your part, Cura Welt will issue a full refund of its Facilitation Fee. This refund obligation is strictly limited to the Facilitation Fee paid to Cura Welt and does not extend to any funds paid directly to the Partner Clinic or to any associated third-party costs.

Cura Welt cannot guarantee the conduct of Partner Clinics and accepts no liability for clinic-initiated cancellations, changes to treatment plans, clinical outcomes, or any direct or indirect losses arising from a clinic's decisions. Patients are advised to seek independent legal advice if they wish to pursue a claim against a Partner Clinic.
Section 07

Force Majeure

Neither party shall be liable for any failure or delay in performance arising from circumstances beyond their reasonable control, including but not limited to: acts of God, natural disasters, epidemic or pandemic declarations, government-imposed travel restrictions, war, terrorism, civil unrest, or significant disruptions to air travel or border access ("Force Majeure Event").

Where a Force Majeure Event prevents the provision of services or the patient's ability to travel to the Treatment Date:

  • Cura Welt will issue a credit note for the full Facilitation Fee, valid for 12 months from the original Treatment Date
  • Alternatively, Cura Welt will assist with rescheduling the arrangement to a mutually agreed alternative date at no additional Facilitation Fee
  • Cash refunds for Force Majeure cancellations are at the sole discretion of Cura Welt and are not guaranteed
  • Documentation evidencing the Force Majeure Event may be requested by Cura Welt
Section 08

How to Cancel — Procedure

To initiate a cancellation, you must submit a Written Notice containing the following information:

  • Your full name and email address used at registration
  • Your Booking Confirmation reference number
  • The name of the Partner Clinic and Treatment Date
  • The reason for cancellation (optional, but helpful for exception assessments)
  • Your preferred refund method (original payment method or credit note)

Written Notice must be submitted to: [email protected] or via the contact form at curawelt.com/contact.

Cura Welt will acknowledge receipt within 2 business days and will provide written confirmation of the applicable refund amount (if any) within 5 business days. Refunds, where applicable, will be processed within 14 business days of the confirmation email.

The cancellation date is determined by the timestamp of Cura Welt's written acknowledgement of your request — not the date of sending. We recommend using email and retaining confirmation of delivery.
Section 09

Rescheduling

Patients who wish to change their Treatment Date rather than cancel entirely may request a rescheduling of their arrangement. Rescheduling requests are subject to the following conditions:

  • A rescheduling request submitted more than 14 days before the Treatment Date will be accommodated at no additional Facilitation Fee, subject to availability at the Partner Clinic.
  • A rescheduling request submitted 7 – 14 days before the Treatment Date may incur an administrative rescheduling fee.
  • A rescheduling request submitted less than 7 days before the Treatment Date will be treated as a cancellation and the standard refund schedule in Section 4 will apply.
  • Each patient may reschedule a maximum of two times per booking without charge (subject to the notice requirements above). Subsequent rescheduling requests will incur an administrative fee.
  • Rescheduling is subject to the Partner Clinic's availability and agreement — Cura Welt cannot guarantee that a new date can be secured with the same clinic.
Section 10

Disputes & Complaints

If you are dissatisfied with the outcome of a cancellation or refund request, you may submit a formal complaint to [email protected] with the subject line "Formal Complaint — Cancellation". We will acknowledge your complaint within 3 business days and aim to provide a full written response within 15 business days.

We are committed to resolving all disputes fairly and transparently. In the event that a dispute cannot be resolved through direct correspondence, the parties agree to attempt resolution through a mutually agreed mediator before initiating formal legal proceedings.

Section 11

Governing Law

This Policy and any disputes arising from it shall be governed by and construed in accordance with applicable law. As Cura Welt operates internationally, patients are advised that their local consumer protection legislation may also apply. Nothing in this Policy is intended to exclude or limit any statutory rights available to you under the laws of your country of residence.

Cura Welt reserves the right to update or amend this Policy at any time. The version of this Policy in effect at the time of your Booking Confirmation will apply to that booking. The current version (last updated March 2026) is always available at curawelt.com/cancellation-policy.

Cura Welt is a medical tourism facilitation intermediary only. We are not a medical provider, healthcare operator, or insurer. We do not employ clinical staff, manage medical facilities, or accept responsibility for clinical outcomes, treatment quality, or any loss or harm arising from medical services delivered by Partner Clinics.

This Policy governs the Facilitation Fee charged by Cura Welt only. All fees paid directly to Partner Clinics, as well as all costs associated with travel, accommodation, and insurance, are governed by separate agreements outside of Cura Welt's control and responsibility.

Patients are strongly advised to obtain independent travel and medical cancellation insurance and to review the cancellation terms of their chosen Partner Clinic before making any commitment or payment.
